Merchant customers vs account holders

If you are asking about data held about you as a customer of a merchant (for example a shop that uses ThisCity POS), that merchant is usually the controller. Please contact the merchant first. ThisCity, as processor, will assist the merchant and will help ThisCity account holders delete their own accounts as described here. See Data Protection and Privacy Policy.

What we delete

Upon a verified request, we will remove from our cloud servers and public website, as applicable:

• User account details (name, email, phone, authentication records);
• Organisation profiles and logos held for that account;
• Customer contact lists and employee roles held for that account;
• Public data and shared links associated with the account;
• Operational data such as inventory records and messaging history held for the account;
• Device identifiers associated with the account.

Legal record-keeping (7-year archive)

While your account and public-facing data are removed from live systems, deactivated financial and related operational records (such as invoices and transaction logs) may be retained in an offline archive for seven (7) years for legal, tax, and AML-related record-keeping. These archived records are not publicly accessible and may be disclosed to authorised authorities only with valid court order or other lawful process.

Processing time

We verify requests using your account email (or other reliable identifiers) to protect your data. Verified requests are typically processed within about 30 days. Some data may be retained where required by law; where possible we remove or restrict personal identifiers in live systems.

Local device data

Data stored locally on your device (cached files, downloaded PDFs, offline caches) must be cleared by you — for example by uninstalling the application and clearing the app cache.
